Protsahan India Foundation works with 96,000+ girls annually across Delhi’s slum communities, building pathways out of poverty through education, mental health support, and livelihoods training. As the organisation scales into a pan-India field-building model in 2026, the Executive Director’s office requires dedicated, high-calibre support to manage a wide and demanding portfolio of administrative, regulatory, and coordination responsibilities.
Role Summary
The Senior Administrative Executive will directly support the Executive Director in managing time-sensitive administrative, regulatory, and coordination tasks that fall within the ED’s direct responsibility but do not require the ED’s personal judgement or presence to execute. This is a role for someone who takes ownership of tasks end-to-end, tracks details precisely, and follows through without repeated reminders.
Key Responsibilities
- Manage and track all statutory, regulatory, and administrative filings, licenses, registrations, and renewals that fall under the ED’s direct responsibility, maintaining a live compliance and renewals calendar with no missed deadlines.
- Coordinate with government departments, vendors, consultants, and external agencies on behalf of the ED, following up, collecting documentation, and driving pending applications to closure.
- Manage the ED’s calendar, correspondence, and meeting preparation, including compiling briefing notes and background material ahead of key meetings.
- Draft, proofread, and format correspondence, documents, and presentations on behalf of the ED.
- Maintain organised, accessible records of all documentation handled, physical and digital, so that nothing is dependent on institutional memory alone.
- Support the ED in tracking action items arising from meetings, board interactions, and donor conversations, and follow up proactively until closure.
- Handle sensitive and confidential information relating to governance, compliance, and personnel matters.
- Take on other administrative work sitting under the ED’s purview as required.
Candidate Requirements
Non-negotiables
- Impeccable attention to detail. This is the single most important requirement for this role. The ideal candidate double-checks their own work as a habit, catches errors before anyone else does, and treats documentation accuracy as professional pride, not obligation.
- Process discipline. Follows documented processes precisely, without shortcutting steps or improvising on filings, checklists, or approval flows. Deviations are flagged and discussed, not decided unilaterally.
- 24-hour turnaround on assigned tasks. Every task gets a status update within one working day, even if the update is that the task is blocked.
- Absolute discretion. Handles confidential documents and conversations without exception.
Essential
- Graduate degree in any discipline. Additional certification in office administration or business support is welcome but not required.
- At least 5 years of experience in an executive assistant, administrative coordination, or similar support role, ideally involving statutory or regulatory filings.
- Prior direct experience supporting a Founder, CEO, or ED.
- Demonstrated experience navigating government departments or regulatory processes (fire department, municipal bodies, FCRA, or statutory filings).
- Excellent written and verbal communication skills in English and Hindi.
- Strong working knowledge of MS Office and Google Workspace.
- Ability to manage multiple priorities independently.
- Comfortable working in a fast-paced, high-accountability environment.
Preferred
- Prior experience working with or for a non-profit, foundation, or mission-driven organisation.
- Familiarity with FCRA compliance requirements, or willingness to learn quickly.
What Success Looks Like
- Regulatory and statutory filings under the ED’s purview are tracked, followed up, and closed on time, with no last-minute surprises.
- Correspondence and documents prepared for the ED are accurate and ready to use without correction.
- Routine administrative and procedural work is handled end-to-end, freeing the ED to focus on judgement-heavy work only ED can do.
